Laptop Loan Policy

Introduction

Available to actively enrolled ESCC and AAC students, laptop computers issued through the ESCC Laptop Loan Program to students are to be used for school related purposes only. You will be held personally responsible for any actions or compromised information resulting from the loss, theft, or misuse of the College-owned laptop computer. Laptops are an essential learning tool and a useful resource for learning, but their portability makes them particularly vulnerable to physical damage. This policy will address the actions that must be taken in order to minimize such risks. In addition to this policy, all borrowers are bound by the College’s Information Technology Policies. Laptops must be picked up by the student, and a photo ID must be shown. Laptops can be picked up as early as one week prior to the first day of classes.

Loan Procedure

A limited number of laptop computers are available from the Boll Weevil Central located on the Enterprise Campus for students each semester. Before laptops are issued, the following event must occur:
 
1. Sign and abide by the ESCC Laptop Loan Program Agreement and Information Technology Policies on Computer Use and Internet Access forms.
 
Laptops are to be inspected each semester during final examination week.
 
Laptops are to be returned immediately following the end of each semester.
 
  • Failure to return the laptop will result in the following:
  • Withholding of student grades
  • Inability to register for further classes at Enterprise State Community College; Inability to graduate or obtain transcripts;
  • Possible legal action;
  • Payment of laptop replacement fees.
 

Safeguarding Information

To assist you and to ensure compliance, the following practices must be followed:
  • Laptop computers are not to be shared, used by friends or family members, or loaned to anyone.
  • Do not leave the laptop computer unattended. The physical security of your loaned laptop is your personal responsibility, so please take all reasonable precautions. Be sensible and stay alert to the risks.
  • Do not service or install software on laptop computers. Bring it in for repair and/or service.
  • Do not download or install software programs.
  • Keep your loaned laptop computer in a secure and locked location when not in use. (Your car is never considered to be a secure location even when locked.)
  • Do not collect and/or store confidential information (e.g. social security numbers, passwords, etc.) on the laptop.
  • Carry and store the laptop in the provided carrying case at all times when not in use.
  • If the laptop is lost or stolen, notify the IT department immediately. A police report will be completed.
 

Laptop General Care and Guidelines

 
  • Do not expose the laptop to dirty or dusty environments.
  • Do not press or touch the display panel (LCD screen).
  • Do not clean the display panel with Windex or other household cleaners.
  • Do not use a foreign or borrowed AC pack/power adapter other than the one provided at time of loan. Do not expose the laptop to extreme temperatures or direct sunlight.
  • Do not store the laptop in your car overnight or for long periods during the day.
  • Do not drink or eat near the laptop.
  • Do not place the laptop on uneven or unstable work surfaces.
  • Do not place or drop objects on top of the laptop.
  • Do not pick up the laptop by the open lid. (This can cause the hinges to fracture.)

It is the student’s responsibility to be diligent in the general care of the laptop. If it is determined that a student has been negligent and the laptop is damaged beyond repair, the student will be responsible for damages to the laptop.

Adding to the Standard Configuration

We have designed the laptop loan program to provide consistent service, adequate user support, and to ensure network compatibility. The borrower is not to install any computer hardware or additional software on the laptop without prior approval from the Information Technology Department.
 
Unauthorized copying of software is a violation of the College’s Information Technology’s Policies on Computer Use and Internet Access. It is also illegal.
 
Borrowers are responsible for performing their own personal file backups. Enterprise State Community College is not responsible for any files left on the laptop or for loss of, or damage to, a user’s files during the loan period. The College is also not responsible for any computer viruses transferred to, or from, a user’s external storage while using the laptop. All user files and documents should be saved to an external source such as a CD-R disk or flash drive provided by the user.
